Establishing policies is one of the most important aspects in having a well-organized business, allowing owners to have a list of guidelines that will allow all their employees to know their responsibilities and duties they have to perform.

However, policies should be comprehensive and clear to prevent legal loopholes and unexpected problems.

Policies in business are important as it identify what are the responsibilities and behaviour expected to each worker, supervisor, and co-owner, and business partner. Also, these guiding principles will provide solutions to problems even before these arise.

However, establishing policies should be well-thought, as any employer does not want to encounter a problem which is unexpected. This means that no loophole, especially in legal and operation issues, is present in company policy.

To create a comprehensive and clear policy, these are some of the guidelines which must be considered:

The type of business and its operation

Consider the type of business, its operation, and its short- and long-term goals in establishing policies. By doing so, entrepreneurs can avoid situations where they are left confused on what resolution they should adopt. For example, a convenience store owner should provide employment policies to workers such as how they should behave inside the premise and what are their responsibilities. Policies should also cover the responsibilities of employers such as the compensation and benefits of workers and the duty of supervisors.

Employees’ feedback

Asking employees about their ideas can help entrepreneurs improve the company policies. According to occupational psychologists, having a two-way communication will help companies to make certain improvements and to become more productive, while creating a good rapport with workers who think that their employer gives importance to their ideas.

Communicate policies to all business partners, supervisors, and workers

After creating policies, employers should communicate these to all employees. Ideally, policies should be easily access by all people and are usually posted on bulletin or any place where these will be easily seen by everyone. It is also ideal to put policies in employment handbook.

Important revisions

Because the business climate is constantly changing, it is important to revise company policy regularly. Some industries prefer to make the revisions on exact schedule (e.g. quarterly, bi-annual, or yearly); however, some prefer to make certain adjustments in the policy if there are remarkable changes which should be immediate resolved.

For example, a company has a low-productivity because employees are doing things which are not related to their work (e.g. opening their social network profiles, chatting on the Internet). In this situation, employers should create a policy stating that workers are prohibited in visiting websites which are not related to their work and that anyone who will violate this will be disciplined accordingly.
